BPHR’s Director Lisa Salcido, SPHR, SHRM-SCP provides answers to your pressing HR questions.
Question: “With vacation season upon us, how can we manage the surge in time off requests?”
Answer: Accommodating your employees’ need for time away from the office is good business practice and an effective morale booster. However, poor scheduling can affect productivity and profits. Your employee handbook should outline your time off request policy. To best manage these requests, be sure your policy includes:
- Any prerequisites for eligibility, such as waiting periods
- Formula for calculating accruals
- How far in advance employees must notify their supervisor of the request
- Procedure employees and supervisors must follow for requesting and approving time off
Some strategies for balancing the effort to grant an employee’s vacation preference and have sufficient department coverage are: Approving requests based on seniority or “first come, first serve” basis, creating a rotating vacation schedule, and always enforcing the written policy fairly and equally.
